Subscribe to Your Appointment Calendar

How to add your PracticeRunner appointment calendar as a subscription so future appointment changes can update automatically.

Your practice may give you a private PracticeRunner calendar link for upcoming appointments. Add this link as a calendar subscription so future appointment changes can update automatically.

Do not open the link as a downloaded .ics file unless you only want a one-time copy of your current appointments. A downloaded file will not keep updating.

From the PracticeRunner portal

  1. Open your practice's client portal.
  2. Go to Appointments.
  3. Find Calendar feed.
  4. If the feed is off, choose Turn on calendar feed.
  5. Use Subscribe in Apple Calendar on an iPhone, iPad, or Mac, or use Copy subscription URL for Google Calendar, Outlook, or another calendar app.

The Apple subscription link is only for Apple devices. It will not add the calendar to Google Calendar.

Apple Calendar

On an iPhone, iPad, or Mac, choose Subscribe in Apple Calendar from the portal.

If you are adding the calendar manually, copy the subscription URL from the portal and add it as a subscribed calendar in Apple Calendar.

Google Calendar

  1. Copy the subscription URL from the portal.
  2. Open Google Calendar in a browser.
  3. Next to Other calendars, choose From URL.
  4. Paste the PracticeRunner calendar URL.
  5. Add the calendar.

Google Calendar decides how often it refreshes subscribed calendars, so appointment changes may take time to appear.

If the calendar appears in Google Calendar on the web but not on your phone, open Google Calendar sync settings and make sure the subscribed PracticeRunner calendar is selected. This is a Google setting, and it may be separate from adding the calendar from URL.

Outlook or another calendar app

Copy the subscription URL from the portal and look for the app's option to subscribe from the web, internet, or URL. The wording varies by app.

Choose the subscription option, not the import option. Importing a file creates a one-time copy and will not keep future appointments updated.

Turning off the feed

You can turn off the calendar feed from the portal. When it is turned off, the private link stops showing appointments.

Calendar apps refresh on their own schedule, so old appointments may remain visible until your calendar app checks the feed again.

Privacy

Anyone with your private calendar link may be able to see appointment times and the appointment details included by your practice. Do not share the link unless you intend that person to have access.
